Priority Due Date (PDD)

PRIORITY DUE DATE (PDD) is the date by which CURRENT STUDENTS MUST PAY TUITION IN ORDER TO MAINTAIN PRIORITY and GUARANTEE THEIR CLASS SPOT. After the PDD, OUR COMPUTER SYSTEM ELECTRONICALLY DELETES UNPAID STUDENTS FROM THE ROSTER and new Students are placed in the vacancies. The PDD occurs on Saturday, two to three weeks in advance of each upcoming session.

To keep your class spot from session to session: You must pay tuition before the PRIORITY DUE DATE (PDD) to guarantee your class spot. Also, class change requests should be made before the PPD to maintain priority over New Students.

We do send home a computer generated reminder, but it remains your responsibility to know and honor the PPDs throughout the year. We are aware that rigid deadlines may seem harsh, however, the alternative to rigid deadlines is overbooked classes, not an acceptable alternative.

If you are concerned about forgetting the Priority Dues Dates, please ask about our Multiple-Session payment option. This option includes automatically charging your account on the Priority Due Date. Please see or email Liz to find out more details about setting up this option.

Registering for Sessions 2 through 5

FULL PAYMENT IS REQUIRED WITH REGISTRATION. Your payment is 100% refundable in the event your first class choice is not available.

REGISTER AS SOON AS YOU HAVE YOUR CLASS CHOICE. Upon receipt, your registration will be dated and placed in the "Holding File". After the Priority Due Date (PDD) the Holding file is opened and we begin the process of placing new students into classes BASED ON THE ORDER IN WHICH WE RECEIVED THE REGISTRATIONS. This process is time consuming and may take up to two weeks. We thank you for your patience.

Joining, Dropping, Changing Classes Mid-Session

  • JOINING a class after the session commences... As long as there is room in the class, we will accept new students for the first week of the session. Tuition will be prorated relative to your start date.
  • CHANGING classes mid-session... We will gladly accommodate class change requests assuming there is a vacancy in your desired class, and your child's skill level is the same as the new class.
  • DROPPING a class, or missing classes... There are no refunds or credits for dropping a class mid-session. ONCE A SESSION HAS COMMENCED YOU ARE IN CLASS FOR THE ENTIRE SESSION, regardless of attendance, except for Medical Reasons for dropping a class (see below)

    Medical Reasons for dropping a class...
    For medical situations validated by a written acknowledgement from a licensed medical practitioner you will be granted a credit prorated from THE DATE WE RECEIVE the written acknowledgement. (A retroactive request for medical credit cannot be granted, as it eliminates our opportunity to fill the vacated class spot).

PAYMENT SPECIFICS
Full payment is required with registration. In the event your first class choice is not available your money will of course be refunded. Check, Mastercard, Visa, American Express & cash are accepted. Phone payments via credit card only. ALL checks returned from the bank will be charged a $20 service fee.

Mail-in registration/payments are preferred, as it allows our office staff to process registrations & payments in off-peak hours, allowing us to better serve our clients. WHEN MAILING PAYMENTS, PLEASE BE SURE YOU LEAVE ENOUGH TIME TO ENSURE THEY ARE RECEIVED BEFORE THE PRIORITY DUE DATE ! Also note, we do have an on-site tuition drop-off box located on the counter where you sign in & out.

MULTIPLE-SESSION PAYMENT OPTION
Concerned about forgetting the PDD? No problem: simply pay for multiple sessions in advance and LOCK-IN your priority status. In the event your personal schedule changes & you cannot fulfill your obligation to attend future sessions for which you have paid, East Bay will, of course, refund all tuition you have paid for future sessions. Refunds are not available for Summer Camps.

$35 ANNUAL FAMILY REGISTRATION FEE
This is a flat, $35 per family fee, which is due upon initial registration and every September thereafter. The 10% off family rate discount does NOT apply to the Registration fee.

10% FAMILY DISCOUNT!
At East Bay, all currently enrolled students in the same immediate family (cousins don't count!) receive 10% off their tuition! The $35 registration fee is not discounted.

Absences and Make-Up Classes

TUITION PAYS FOR YOUR CHILD'S SPOT IN YOUR CHILD'S CLASS. However, as a courtesy, East Bay desires to offer make-ups when and where doing so does NOT INTERRUPT the safety or quality of class. In any event, the number of make-ups we accept in any class is limited hence, are not guaranteed and in all cases are limited to 2 per session.

We view make-ups as a privilege, not a right. East Bay reserves the right to refuse to offer make-ups if we feel it will degrade the experience of those children who have registered and paid for that class.

ALL make ups must be made up in the SAME SESSION. In the event of an absence the last week of the session, a make-up in the next session will be permitted as long as there is room in the class.

Snow or Inclement Weather

We do try to call our students when we feel the weather is unsafe for travel. If you are not sure if there is a class, please call the gym at 253-1267 and check for a message on our answering machine before leaving.

We will also put a notice on the our web site home page under Daily Updates. Please note: we do NOT follow the closing decisions of any particular school system.

We also do our best to schedule make-ups for snow days, but do not guarantee them. Please remember that you are paying for a space in the class, not a particular number of classes.

We live in New England, it IS going to snow, every class may get at least one snow day per year, we plan this when budgeting tuition.

Signing your Children In and Out of Class

FOR YOUR CHILDREN¹S SAFETY we do ask that ALL children be signed in and out by a parent or approved driver (as you have stated on your registration form).

PLEASE DO NOT LEAVE ANY CHILDREN UNATTENDED IN THE WAITING ROOM. The safety of your children is of utmost importance to us and this is one area where WE NEED YOUR HELP!

We keep your children safe IN the gym - YOU keep them safe in the parking lot & waiting room. Thank you for your help & understanding!
